Administrative Assistant (PT)

Job Summary:  
The Administrative Assistant for Copper Hill Construction, Inc. works part-time, various hours per day Monday
through Friday and provides a variety of support activities including clerical, filing, customer service and general
office support. The ideal applicant is organized, flexible, able to work through moderate to heavy periods of
interruptions and easily return to task, and adjusts quickly to varying situations, while remaining positive and friendly.
Work requires strong work ethic and ability to work with confidential and sensitive information.

Qualifications:

  •  High school diploma or GED

  •   Bilingual (Fluent in Spanish)

  •  Must be able to pass a background check

  •  Proficient in computer applications including but not limited to (Word, Excel, Google Drive, Gmail, *Quick Books)

  •  Pass back ground check
     


 (Preferred qualifications- 3 years’ work experience, experience using Intuit Quick Books) | 

 

 

Physical Requirements: 
Frequently

  •  Sitting for long periods

  • Viewing computer monitor and typing on keyboard for more than 30 minutes at a time

  • Clerical duties (writing, filing, copying, etc.)

  • Occasionally- pushing/pulling/ lifting up to 40 lbs

Administrative Assistant Responsibilities:


Provide clerical and operational support related to answering phone calls, greeting and assisting visitors,
maintaining files, implementing the mail system, and completing special projects and assignments.

Compose general computer-generated correspondence, for example proposals, employee memos, and
contract paperwork.


Prepare inter office documents for end of the month documentation for billing or accounts payable
purposes.


Assist office manager with preparation of projects to ensure timely delivery of materials
Work together with other team members to ensure deadlines are met
Other duties as assigned


Supervision:


Identify self-growth, development goals, and strategies for achievement with support and input from
supervisor.
Commit and participate in consistent and planned meetings with supervisor to further professional growth
by seeking feedback, reflecting on, and assessing own practice, and taking advantage of opportunities to
improve skills and knowledge.


Record keeping, Monitoring, and Reporting:


 Report safety, health, and employee issues to the office manager.
 Prepare initial files for new employees


 Complete, organize, and maintain (with high level of accuracy) paper and electronic files (as assigned) to
support company requirements including data tracking on construction projects.


 Enter data into information systems as assigned (company database).
